Reservation

As soon as we receive your contract, filled out and signed, you will be put on our calendar.

Payment

Payment is due in FULL the day of the event unless otherwise agreed upon by both a member of the Aspen Trio and the client. Payments can be made through Venmo, Check, or cash.

Set Up

If the venue has a piano, it must be positioned where the client would like the musicians to play. If no piano is available, or moving the one at the venue is not possible, please let us know and we will bring a portable piano.  If this is the case, the musicians will need to be near an outlet or be notified ahead of time. Two armless chairs must be provided for the violinists and ample space that will fit three musicians, two music stands, and a portable piano (if applicable).

Outdoor events

For outdoor events, proper shading or protection must be provided in the event of inclement weather to prevent damage to instruments. This includes extreme heat, rain, snow, severe cold, or any other elements that could be damaging to instruments.

Cancellation Policy

If cancellation is made prior to 90 days before the event, no cancellation fee will be assessed.  After the 90 days, half of the quoted fee will be assessed.  If cancellation is made within 10 days of the event, the full quoted fee will be assessed.

Overtime Policy

If on the day of your event, you decide that you would like the ensemble to play for a longer period of time, we would be happy to accommodate you (as long as there is not a scheduling conflict). Please know that if this is the case, the client is expected to compensate the Aspen Trio, at the regular hourly rate, for any time past the contracted time period.

Performance Specifications

It is the client’s responsibility to provide detailed instructions including when to start playing, when to stop playing, what pieces to play and when to play specially requested pieces, etc. The client also needs to appoint someone from the client’s party to direct the ensemble on where to set up, cue the ensemble if necessary, etc. Unless specific requests are made by the client, the Aspen Trio will choose a variety of pieces from the repertoire list to play at the event.

Other

The Aspen Trio consists of two violins and a piano. If for some reason a member of the group is unable to play at an event, a substitute of equal skill level will be provided.
